POSITION SUMMARY

Under the direction of the Director of Human Resources, You will be responsible for the administrative support of day-to-day human resources operations including, but not limited to, records management, HRIS/systems, benefits, onboarding, and administration. This role helps ensure compliance with applicable Federal, State, and City laws/ordinances; provides information and assistance to employees regarding human resources activities, processes, policies, and procedures; prepares various correspondence and coordinates activities related to the areas of assignment; and delivers customer-focused and effective human resources support service to the department and organization.

ESSENTIAL FUNCTIONS OF THE POSITION

  • Processes and maintains records of employee-related data (personal information, status changes, payroll, leaves, etc.) to ensure all employment requirements are met; includes HRIS data entry and personnel file maintenance
  • Supports the Talent Acquisition process by posting jobs, tackling open positions, scheduling interviews, performing background checks, drafting offer letters, and assisting with new-employee onboarding and orientation
  • Completes Forms I-9, verifies I-9 documentation, maintains and audits I-9 files
  • Administers and supports with offboarding processes
  • Supports benefits administration
  • Assists employees and managers with basic interpretation of Human Resources policies and procedures
  • Produces and submits reports for employee data reporting and general Human Resources activity
  • Maintains and creates all HR reporting. Does analysis and make recommendations as needed
  • Assists with employee relations, performance management, and coaching
  • Responds to reference checks and verifications of employment status
  • The first point of contact for company policy and program
  • Maintains quality service by following organization standards and exhibiting professionalism
  • Maintains high standards of confidentiality of all employee records and information
  • Assists management and leadership team with special projects
  • Manages complex calendaring for Talent Acquisition processes, ensuring timing and logistical details are in place while maintaining an excellent service experience

EDUCATION OR TRAINING EQUIVALENT

  •  Bachelor’s degree and/or equivalent experience
  •  3 years minimum of work experience in a Human Resources support position

QUALIFICATIONS (SKILLS, ABILITIES, LICENSES)

  • Basic knowledge of Human Resources administration best practices, processes, and terminology
  • Proficiency with standard business software applications: word processing (e.g. Microsoft Word), spreadsheet (e.g. Excel), communications and scheduling (e.g. Outlook and MS Teams)
  • Organize and effectively prioritize work; handle multiple tasks simultaneously; flexible to meet deadlines
  • High attention to detail in the maintenance of accurate records and files
  • Exhibit clear, concise, and effective written and verbal communication
  • Experience with HR systems
  • Advanced coursework in Human Resources
  • Ability to handle highly confidential data
