Marketing Associate

ORGANIZATIONAL OVERVIEW

The Jewish Community Federation and Endowment Fund (the Federation) supports a vision of diverse and dynamic Bay Area Jewish communities, deeply engaged in Jewish life and doing good locally, in Israel and around the word. A newly defined strategic direction positions the Federation to achieve this vision by mobilizing innovation, collaboration, and community investment with focus on three intersecting areas:

  • Recruiting and stewarding the next generation of Jewish philanthropists to generate more and better philanthropy, driven by Jewish values;
  • Collaborating with partners to build connection and belonging in order to dramatically increase the number of young people engaged in Jewish life; and
  • Leading or funding core components that foster the resilience and security of Jewish communities, both locally and globally.

The Federation seeks highly motivated individuals with a variety of skill sets who wants to join a team working to build a new model of 21st century and next generation Federation engagement.

POSITION SUMMARY 

The Marketing Associate (MA) provides project management, budget, and administrative support to the Marketing & Communications department. This is a full-time position.

ESSENTIAL FUNCTIONS OF THE POSITION

Marketing and Communications

  • Manage design editing process for ads, postcards/palm cards, flyers, programs, and invitations
  • Manage J. Weekly ads schedule & reservations, and track ad budget
  • Work with project requestors to create and coordinate production timelines, proactively follow up with requestors about project needs/due dates
  • Assist in writing/editing/proofing for blogs, web pages, and ads as needed
  • Manage back-end web editing
  • Edit and approve event registration (SPARK) pages prior to production
  • Proofread all Federation marketing and communications before final production
  • Coordinate and manage ad reservations across the organization
  • Co-manage online calendar (approving users, editing events), posting web banners
  • Manage J Resource listings annually
  • Manage print production of various print initiatives including direct mail

Budget Management

  • Creation and tracking of expenses and revenues, preparing expense reports, budgeting, and bill processing
  • Manage payment of all invoices and credit card charges, provide analysis of budget status and expenditures to Senior Director 
  • Provide budget projections for quarterly reports
  • Assist in planning and submission of annual budget

Contracts

  • Create and manage contractor agreements for new contractors
  • Ensure Marketing contracts and W-9s are up-to-date
  • Manage marketing vendor list and act as main point of contact for vendors

Administrative Responsibilities

  • Order supplies, coordinate messenger services, scanning services
  • Oversee business cards and stationery orders
  • Database management, material distribution, file maintenance (hard copy and electronic)
  • Manage Information Mailbox
  • Post news articles and press releases
  • Edit and post all job postings
  • Manage subscriptions for entire organization
  • Manage marketing content on the organization’s Intranet

EDUCATION OR TRAINING EQUIVALENT 

  • A minimum of three years of previous administrative experience

QUALIFICATIONS (SKILLS, ABILITIES, LICENSES)

  • Ability to effectively divide time and work effectively, and to both prioritize the work and ask for guidance as needed
  • Ability to handle and prioritize multiple tasks under tight deadlines
  • Effective communication skills, both written and verbal
  • Strong organizational skills and attention to detail
  • Ability to work independently as well as part of a team
  • Excellent computer skills, including proficiency in Word, Excel, PowerPoint
