REPORTS TO: Marketing Operations Manager

POSITION OVERVIEW

The Marketing Associate provides project, budget, and administrative support to the Marketing and Communications department.

ESSENTIAL FUNCTIONS OF THE POSITION

Marketing and Communications

  • Work with department requestors as a project management traffic coordinator to create, negotiate, and confirm production timelines and proactively follow up with requestors about project needs/due dates.
  • Manage all print and digital ad schedules including J. Weekly ads schedule & reservations, and track ad budget.
  • Manage online community calendar (approving users, editing events to follow standards)
  • Update minor back-end web editing.
  • Coordinate annual update of J Resource listings.

Budget Management 

  • Manage payment of all invoices and credit card charges.
  • Track budget status and expenditure to report out as needed.

Contracts

  • Create and manage contractor agreements for new contractors.
  • Ensure Marketing contracts and W-9s are up-to-date.
  • Manage marketing vendor list and act as the main point of contact for vendors

Administrative Responsibilities

  • Oversee business cards and stationery orders.
  • User login management tracking.
  • Manage Information mailbox.
  • Post news articles and press releases.
  • Edit and post all job postings.
  • Manage subscription renewals or cancellations.
  • Update marketing content on the organization’s Intranet as requested.
  • Keep organized records of marketing metrics and results of past campaigns.

EDUCATION OR TRAINING EQUIVALENT

  • 3+ years of previous administrative and/or project management experience.

QUALIFICATIONS (SKILLS, ABILITIES, LICENSES)

  • Ability to divide time and work effectively and ask for guidance as needed.
  • Ability to handle and prioritize multiple tasks under tight deadlines.
  • Effective communication skills, both written and verbal.
  • Strong organizational skills and attention to detail.
  • Ability to work independently as well as part of a team.
  • Excellent computer skills, including proficiency in Word, Excel, PowerPoint.
  • Must have knowledge of basic back-end web editing.
  • Understanding of SharePoint 365, Drupal, and WordPress preferred to update content online.

COMPENSATION

Salary range: $35.19/hour- $38.46/hour, Full-time
Benefits include medical, dental, vision, vacation, sick pay, holidays (including Jewish), and retirement plan.
