POSITION SUMMARY

Under the direction of the Manager of General Accounting, the Staff Accountant – Payroll and General Ledger will function as a staff accountant with payroll responsibilities in the Accounting Department, ensuring the accurate processing, recording, and timely reporting of payroll and financial information, including entering all related transactions into the general ledger.  He/she will support Federation personnel as they administer the programs of the Federation and will also work closely with the HR team on operations, procedures, and processes. The Staff Accountant will provide support to the accounts receivable function, perform GL analysis and create general ledger entries.

ESSENTIAL FUNCTIONS OF THE POSITION

Provide excellent customer service related to payroll, accounting, reporting, including consistent accounting treatment of all transactions, and timely transaction entry.

  • Collect and Review all timesheets (when applicable) and enter data in the payroll system
  • Prepare pre-processing register and analyze for accuracy
  • Upload and download payroll data to third-party payroll processors. Upload manual checks’ positive pay information to the bank.
  • Invoice internal programs for salary and benefits direct costs
  • Research and respond to staff and HR regarding all payroll issues
  • Prepare all general ledger payroll and benefits entries
  • Process miscellaneous weekly receipts
  • Perform quarterly reconciliations of GL accounts, including preparation of adjusting journal entries as needed
  • Assist in annual audits and tax filings, prepare payroll-related schedules
  • Participate in evaluating, improving, documenting policies and procedures related to payroll and Accounting services
  • Perform program analysis, reconcile bank accounts, and other duties as requested
  • Other duties as required

EDUCATION OR TRAINING EQUIVALENT 

  • Bachelors degree in accounting required
  • Minimum of four years increasing payroll, general ledger, and accounting experience
  • Experience with third-party payroll processors (ADP, Paychex, Paylocity, etc.) in California
  • Experience with Accounting Softwares, MS Office Suite, including strong Excel skills
  • Experience in not-for-profit financial accounting and fund accounting strongly preferred

QUALIFICATIONS (SKILLS, ABILITIES, LICENSES)

•  Function in a dynamic and changing environment, including possible automation of the payroll timesheet process
•  Possess strong verbal and written communication skills with the ability to hold information confidential using excellent judgment, and be both diplomatic and confident communicating payroll requirements with staff 
•  Proven ability to work collaboratively, effectively with diverse teams
•  Organize and support workflow processes that ensure high degrees of accuracy and accountability
•  Self-motivated and experienced in balancing multiple requests as well as meeting performance standards
•  Have a growth and learning mindset
