Supporting Foundations Program Administrator

This position reports to the Program Officer (Part-time)

ORGANIZATIONAL VISION, MISSION, AND FUNCTION:

The Jewish Community Federation and Endowment Fund of San Francisco, the Peninsula, Marin and Sonoma Counties is a non-profit philanthropic organization dedicated to catalyzing and sustaining a vibrant Jewish community.  Federation supports those in need, deepens engagement in Jewish life, and strengthens the bonds among Jews in the Bay Area, in Israel, and around the world.  Our primary functions are financial resource development and grant-making. 

POSITION OVERVIEW:

The Program Administrator is a member of JCF’s Philanthropic Services department, and is a part-time, benefited position, working at least 20 hours per week.   The Program Administrator is responsible for providing administrative support to the Jewish Community Federation and Endowment Fund’s supporting foundations and certain donor advised funds, and supporting the Chief Philanthropic Officer, Director of Philanthropic Services, and Program Officers.

The Supporting Foundation Administrator works on many aspects of grants processing/systems, which include working closely with Philanthropic Services, Grants Management, and Accounting team members on accurate and timely processing of proposals and consents, tracking and payment of grants, and maintaining grant-making systems and databases.  This position requires substantial work with the GIFTS database to manage proposal acceptance through grant approval (or denial) and distribution of grant checks to grantees. 

The administrative aspects of the position involve planning for certain supporting foundations’ annual (or more frequent) meetings and managing grant processing and financial transactions in between meetings.  This involves ensuring that supporting foundations meet annually, coordinating schedules for the meetings and arranging all meeting logistics, working with potential grantees to submit complete proposals on time, reviewing and analyzing proposals to ensure they are clear and comprehensive, formatting proposals, creating and distributing materials for meetings, taking minutes at meetings, and providing administrative and program support during and after the supporting foundation meetings.

This position requires general knowledge of financial statements and banking procedures and the ability to work collegially with Grant Management and Accounting Department staff to ensure that grants are entered, payments are executed and financial reports are completed in an efficient and accurate manner. This position also requires a commitment to provide excellent customer service to JCF’s Philanthropic Services clients.

ESSENTIAL FUNCTIONS OF THE POSITION:

  • Active monitoring of supporting foundations’ financial and grant-making activity throughout the year
  • Coordinating calendars, scheduling meetings and phone calls, organizing meetings and special events that support JCF’s goals
  • Coordinating schedules for the supporting foundation board meetings and arranging all meeting logistics
  • Managing all communications, research, grant processing, and financial transactions between meetings
  • Daily phone and e-mail interaction directly with grantees, grant seekers, clients of the Philanthropic Services department, and donors to the Jewish Community Federation and Endowment Fund. 

EDUCATION OR TRAINING EQUIVALENT TO:

  • BA/BS degree required.
  • ​A minimum of two years’ work experience is required, preferably with a background in grants management/grants processing.

SPECIAL QUALIFICATIONS (SKILLS, ABILITIES, LICENSE):

  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Excellent attention to detail, ability to think and plan ahead, and ability to manage multiple things at a time.
  • Commitment to enthusiastically providing high quality service to JCF’s clients. 
  • Sense of curiosity and interest in learning new things, particularly in the financial arena.
  • A strong team player with a diplomatic, professional manner, and a sense of humor.
  • Previous work experience within a nonprofit or grantmaking foundation is a plus.
  • Knowledge of GIFTS, FIMS and Raiser’s Edge databases is a plus.
  • Commitment to applying professional and personal skills broadly within the Jewish Community Federation and Endowment Fund in support of its mission and programs.
